What types of events does Flare Media cover?

Flare Media covers a wide range of corporate and community events across Edmonton and Alberta — including conferences, galas, award ceremonies, product launches, brand activations, fundraisers, trade shows, grand openings, and company milestone celebrations. Whether it's a 50-person executive gathering or a 2,000-seat conference, our crew adapts to the scale, lighting, and pace of your event to capture every key moment.

How far in advance should we book event coverage?

A: We recommend booking at least 3–4 weeks before your event, especially during peak seasons in Q4 and Q1 when corporate galas and year-end events are most frequent. For large conferences or multi-day events, 6–8 weeks is ideal so we can plan shot lists, coordinate with your venue and speakers, and align on branding guidelines. That said, reach out even on short notice — we'll do our best to accommodate last-minute requests.

How many crew members will be at our event?

Crew size depends on the package and event scale. Small events (under 100 guests) are covered by a single photographer-videographer. Mid-sized events (100–500 guests) include a dedicated photographer and a separate videographer to ensure nothing is missed. Large-scale events (500+ guests) get a multi-camera crew with specialized roles — primary photographer, roaming photographer, lead videographer, and a drone operator when venue and regulations permit. We'll confirm your crew details during the pre-event planning call.

Do you offer same-day photo delivery?

Yes. Our mid-sized and large event packages include same-day delivery of 10 select edited photos — ready for social media posts, sponsor updates, email blasts, or internal communications before your event wraps up. These are fully colour-graded and branded, not raw files. Full edited galleries follow within 5–6 business days, and cinematic highlight videos within 72 hours for priority packages.

Do you offer retainer packages for recurring events?

Yes — and they're our most popular option for marketing teams, HR departments, and organizations that host multiple events per year. Monthly or annual retainers offer discounted rates, priority booking, consistent crew assignments so your team sees the same familiar faces, and faster turnaround times. Retainer clients also get first access to new services like live streaming and on-site printing. Ask about retainer options on your discovery call.
